Book a call

See what an assessment sees.

Every process looks simple until you draw it. Here are the three from our home page, drawn from how they are written down. You see the questions nobody answered, and the steps where AI could take work off people’s hands. That is where every assessment starts.

What it does.

We built a tool that turns a written work instruction into a process drawing and lists every gap the instruction leaves open. It saves hours in an assessment, so we spend that time with your people instead. And it is the kind of thing we build: a task that used to take a person, done without one, documented so your own people can change it.

Try it.

Pick a process. On the left, the instruction as written. On the right, what the tool draws. Underneath, the gaps: every question the instruction leaves unanswered.

What the work instruction says

Inbound leads arrive in the shared sales inbox, from the website form and by email. The sales coordinator opens each new lead and searches the CRM for the company.

If the company is not in the CRM yet, create a new company record. Then add the lead as a contact on the company’s record.

Look the company up: its website, size, sector and location. Type the details into the record.

Decide whether the lead is worth a call. If it is, assign it to the account manager for the region, who calls the lead back. If it is not, mark it as not qualified.

Exceptions

  1. The lead is an existing customer with an open issue
  2. No account manager covers the region

Gaps the source leaves open

  • It does not say how quickly a lead must be picked up, or who covers the inbox when the coordinator is out.
  • “Worth a call” is not defined anywhere, so two people decide it differently.
  • It does not say which fields a complete CRM record needs, so records are left half filled.
  • It does not say what happens to a lead marked not qualified: whether anyone tells them, or whether it is ever looked at again.
  • No step covers an account manager who cannot reach the lead.

What the work instruction says

Customer emails arrive in the service mailbox. Pick up the oldest email first and read it.

Complaints go to the team lead. For any other question, find the customer’s order in the order system, using the order number or the customer’s name.

If the question is about an invoice, check its status in the finance system.

Write the reply, using a standard answer from the shared folder where one fits. Log the contact in the CRM against the customer’s record, then send the reply.

Exceptions

  1. The order number is missing or wrong
  2. The invoice is already disputed

Gaps the source leaves open

  • It does not say how fast an email must be answered, or what the customer is told while they wait.
  • It does not say what to do when the order number is missing or wrong.
  • The standard answers in the shared folder have no owner, so nobody knows which ones are still correct.
  • It does not define a complaint, so each agent decides what goes to the team lead.
  • It does not say who takes complaints when the team lead is away.

What the work instruction says

The hiring manager emails recruitment with the job title and the department.

Recruitment copies the job description for that title from the template library, or writes one from the job title when there is no template, and posts the vacancy.

Applications arrive in the applicant system, which filters out every CV that does not contain the required keywords.

The recruiter reads the remaining CVs and picks a shortlist. The hiring manager chooses who to interview, and the interviews are planned by email.

Exceptions

  1. The vacancy is posted before the manager has read the description
  2. The manager does not reply to the shortlist

Gaps the source leaves open

  • It does not say what the manager must tell recruitment beyond a job title, so the brief is whatever the email says.
  • Nobody checks whether the template description matches what the role really needs.
  • The keyword list has no owner, and nobody sees the CVs it filters out.
  • It does not say how the shortlist is chosen, or how many candidates it should hold.
  • It does not say what candidates who are not selected are told, or when.
